At Agentova, we believe that automation should never come at the expense of privacy.

We are committed to respecting:

• the General Data Protection Regulation (GDPR – EU 2016/679)
• The Swiss Federal Data Protection Act (nLPD)
• the Google API Services User Data Policy, including the “Limited Use” rules for data from Google APIs

This means:

• We will not resell your data;
• no use for advertising purposes;
• no unnecessary sharing with third parties;
• Human access is permitted only when strictly necessary (for support, security, or legal requirements).

3. What data do we collect?

3.1 Data Provided by You

• last name, first name;
• email address;
• Your company name;
• content added to your Brain Agentova (text, files, notes);
• data entered into the agents (text, files, questionnaire responses);
• payment information (through our secure service providers).

3.2 Data Collected Automatically

• IP address, browser type, device type;
• log files (including connection and error logs);
• platform usage data (interactions with agents);
• cookies (see Cookie Policy).

3.3 Data from Google (if you link your Gmail account)

When you link your Google account, we only ask for the permissions that are strictly necessary:

• https://www.googleapis.com/auth/gmail.readonly
  → Reading emails selected for analysis, sorting, or assisted replies
• https://www.googleapis.com/auth/gmail.send
  → sending emails via an agent
• https://www.googleapis.com/auth/gmail.compose
  → creating drafts that you can approve manually

Specific data collected:

• Gmail email address;
• the content of emails (only if you have given your explicit consent).

We never access your contacts, Google Drive, or other services without your explicit consent.

3.4 Other Suppliers

You can connect other services (social media, CRM, email, etc.).

In this case, only the data strictly necessary for the activated features to function is collected.
The same principles apply: limited use, no sales, no advertising.

4. Purposes of Data Processing

We use your data to:

• provide AGENTOVA.AI services (creation and execution of agents);
• customize and optimize your user experience;
• provide customer support (human or AI);
• improve the platform (usage analysis, debugging);
• to comply with our legal obligations (billing, security, compliance);
• Perform, at your request, certain automated tasks via Google APIs (reading, replying to, or drafting emails).

Google data is used only for the features you choose to enable.

5. Legal Basis for Processing

Treatments are based on:

• the performance of the contract;
• legitimate interest (improving service, preventing abuse);
• your consent (cookies, newsletter, Gmail login);
• legal requirements (accounting, security).

6. Data Retention Period

• account information: retained as long as the account is active;
• billing data: 6 to 10 years, depending on legal requirements;
• Technical logs: up to 12 months;
• Brain Agentova data: as long as you don't delete it;
• Google OAuth tokens: Deleted when you sign out or delete your account.

7. Where is your data stored?

The data is hosted in the European Union by service providers recognized for their security, including:

• Google Cloud Platform / Firebase (EU)
• Vercel
• Neon / PostgreSQL

No transfers outside the EEA without appropriate safeguards (standard contractual clauses, etc.).

8. Who has access to your data?

Your data is accessible only to:

• to you, through your account;
• to our technical team, only when necessary (support, security);
• to our GDPR-certified service providers (payment processing, hosting, analytics).

No data is sold or used for advertising purposes.

Gmail data:

• are used only for the actions you have approved;
• are never shared with third parties;
• are never used for model training or advertising.

9. Security

We enforce strict security measures:

• TLS encryption in transit and at rest;
• secure storage of keys and OAuth tokens;
• role-based access control (principle of least privilege);
• monitoring and audit logs;
• backups, redundancy, regular audits;
• partial anonymization of sensitive content.

Agents are never queried manually.

Important:
Agentova does not develop or train any proprietary AI models.
Processing is carried out by specialized service providers (OpenAI, Google Gemini).

10. Your Rights

In accordance with the GDPR and the nLPD, you have the following rights:

You can:

• delete your data from the platform or via email;
• revoke Google access from your Google account;
• Delete your Agentova account (data will be deleted within a maximum of 30 days, unless otherwise required by law).
